NDW Utility

The NextGen Healthcare National Data Warehouse (NDW) reporting utility provides a platform for clients that report to IHS (Indian Health Services) to gather the data required by Indian Health Services for their yearly GPRA reporting.

To purchase NDW or request a previously purchased license key, please submit a support case in client community. Please note: NDW will not function without a license key.

The current version of NDW is for the CY2024 reporting season.

  • NDW Utility for 2022 Reporting
  • - Previous versions of NDW imposed an inner join constraint on the master_im_ template table to determine visit_type. Visit type is used by NDW to determine whether an encounter was an ambulatory encounter. This causes issues with BH, PT and other specialty workflows that do not necessarily use the standard intake or SOAP template and possibly excludes encounters that are reportable: This has been addressed by relaxing the master IM constraint and using standard E&M codes to detect ambulatory visits that did not follow a workflow that utilizes the Intake or SOAP template. Additionally, any encounters that do not have any associated procedures or diagnosis will be considered a Chart Update by NDW for reporting purposes as no discernable/codified visit, service or diagnosing was performed. This also means that it is likely the base load of encounters gathered by NDW will increase.
  • - Test patients identified with 'NDW' in other ID field on persons chart: Historically, the value "NDW" could only occupy this field for this to work. Now "NDW" can appear anywhere in the field.
  • - Diabetic foot exam: Added the table PhysExamExtPop_ as an additional data source for pulling diabetic foot exams. Added the SNOMED code for monofilament test. At this time, the core logic for this measure appears correct.
  • - Problems and Diagnosis: When determining IHS problem status for patient problems and diagnosis, the status values were not aligned with IHS specifications. The following status values for diagnosis will be used. If a status other than what is listed below is used, then the field will be blank in the report. A = CHRONIC, R = ROUTINE/ADMIN, S = SUB-ACUTE, E = EPISODIC, I = INACTIVE, per our clinical advisor.
  • - Facility / practice name displayed in HL7 exceeds 30 characters: The practice name within the header and footer of the HL7 report document will be trimmed to 30 characters (any alpha-numerics exceeding 30) if it exceeds this limit.
  • - Telehealth encounters not included in report: Telehealth encounters will be identified in the NDW using the following modifiers on CPT codes ('GT','GQ','95','FQ') and/or Place of Service = '02’ which aligns with both CMS and current telehealth billing requirements.
  • - Infant feeding choice measure not populating: The infant feeding choice data is gathered from the pediatric nutrition assessment template. A bug was addressed where the feeding choice IHS code was being populated in the wrong element within the OBX-IFC segment.
  • - Determining race for report eligibility: Nextgen deprecated the uds_race_id field on the person table which NDW was still in part using to determine race. Race will now ONLY be determined by setting the race value on a persons chart under the demographics tab. Also of note here, you have the option of choosing multiple races in this field. American Indian or Alaska Native (valid race choice for NDW), can appear in any of the choices in any order.

  • The BHS and MHS segments were incorrectly formatted and included some incorrect data. This was reported by IHS, and is now fixed.
  • SEVERE BUG: NDW was deleting the IHS Eligibility Status values from Master List and adding new ones (which regenerated their internal ID). This effectively removed the Eligibility Status from all patients on which it had been set. NDW update scripts have been changed, and it no longer deletes the existing values from Master List. It merely checks if they exist, and adds them only if missing. It is recommended that installations with an older version of NDW installed, to go through their patients and see if the IHS eligible patients have had their eligibility flag removed.

  • If an Encounter had a missing Location (which can happen for ... reasons), NDW would be fail with a "Location Not Found" error. This has been corrected.
  • The BLOOD QUANTUM value written to ZP2 was the NG Master File GUID instead of the IHS Blood Quantum Code. This has been corrected.
  • When writing out Dental information, ZDP will now only be written if Field 2 (OPSITE) contains a value.
  • The ADA Codes being written to ZDN were the CDT code (ex. D2392) not the ADA code (ex. 2392). This has been corrected.
  • The progress indicator was showing 100% complete before processing was actually complete. This has been corrected.

  • PROCEDURES were being collected if they occurred on or before the FIRST DAY of the report period, instead of the LAST DAY of the report period. As you can imagine, this dramatically reduced the mumber of PROCEDURES being collected. This has been fixed.
  • The SITE ID wasn't being set properly in the app, so HL7 files still showed Site ID NXGN. This has been corrected to use the value specified in PRACTICES for the selected practice. Your actual Site ID will now be used.
  • Lower-case letters were being written to HL7. Since all old files only contained upper case letters, this has been changed. HL7 will now only include upper case letters.
  • OBX-LAB segments include a Lab test description. NDW was applying inappropriate formatting to the text, which has been discontinued.
  • Some clients have copies of NDW tables in different Schemas. Some NDW logic was trying to clean indexes and tables without specifying the Schema, which was causing errors. Now NDW only checks for and removes indexes/tables in the "current" schema assigned to the current user. This is typically DBO.

  • NDW was failing to properly convert DATE information in several HL7 Segments. Sometimes the date value looked like letters, sometimes it looked a human-formatted date/time value. The formatting has been corrected for all dates represented in HL7. All Segments were checked and tested.
  • The development team was under the impression that data files created by non-RPMS applications (such as NextGen EHR) should have a filename using the SITE ID "YNEZ". This is incorrect; YNEZ is an active IHS Site (Santa Ynez Tribal Clinic). The app has been changed back to the old logic, meaning it uses the local NDW SITE ID (aka YOUR Site ID) instead of YNEZ.
  • Several HL7 Segments were incorrectly writing fewer than the number of required data values (e.g. holding 14 values, only outputting 8). This has been corrected.
  • Some locations have created CPT codes longer than 5 chars as a special marking. The first five digits are a valid CPT. NDW now collects only the first five characters of any field deemed to hold a CPT code, to allow reporting to properly interpret, find, and use data.
  • NDW checks to see if the generated data still exists in the database. If so, it loads the previously selected date range and practice and chooses those in the interface.
  • Using QuickDate, a User can easily choose common date ranges for any Fiscal Year period, using only a few mouse clicks and no keyboard interaction.
